Operations and Logistics Administrator (OLA)

Overview:

The Operations and Logistics Administrator (OLA) is a part-time role focused on supporting Hybrid Robotics’ daily administrative, logistics, and warehouse operations. This role also contributes to marketing efforts by assisting with newsletters, social media posts, and basic graphic design tasks.

Key Responsibilities:

Administrative Support:

  • Pack documentation kits and prepare materials for conferences.
  • Onboard new hires and edit/draft internal documents.
  • Update dashboards and maintain company policies.

ERP and Inventory Management:

  • Use the ERP system (Odoo) to allocate stock in warehouse(s) and register deliveries.
  • Run replenishment reports and monitor inventory levels.
  • Add new products to the ERP system and manage rentals/delivery orders.
  • Publish manufacturing documentation and update inventory costs.
  • Manage and update Bill of Materials (BoM) within the ERP system (Odoo).

Logistics and Warehouse Support:

  • Conduct BinID sampling and perform physical inventory checks.
  • Monitor consumable inventory and assist with packing orders.
  • Organize stock and report inventory discrepancies.
  • Maintain an orderly warehouse.
  • Prepare inventory kits to assist in manufacturing when needed.

Graphic Design and Marketing Support:

  • Create basic graphics for newsletters, social media posts, and internal communications.
  • Schedule and publish social media content aligned with the company’s goals.
  • Collaborate with the team to design marketing materials using tools like Canva or Adobe Creative Suite.

Skills and Qualifications:

Required:

  • Strong organizational skills and attention to detail.
  • Go-getter attitude, able to learn quickly.
  • Proficiency with ERP systems (Odoo experience is a plus).
  • Basic computer skills, including familiarity with MS Office and design software.
  • Familiarity with social media platforms and content scheduling tools.

Preferred:

  • Experience in administrative, logistics, or warehouse management roles.
  • Basic graphic design skills (e.g., Canva, Adobe Creative Suite).
  • Familiarity with newsletter creation tools (e.g., Mailchimp, Odoo Email Marketing).
  • Experience with inventory management and data entry workflows.

Work Environment:

  • Primarily office and warehouse-based with regular hands-on activities in both environments. 
  • Physical activities may include lifting light to medium loads, standing for extended periods, and operating office equipment.

 Compensation:

  • Hourly Rate: $20 - $30/hour.
  • Schedule: Approximately 20-30 hours per week.
